Choosing where to host your party
There are a huge number of factors that you need to consider when planning a party, but one of the main ones is the venue. Get this right, and it makes the difference between you having a good time and a great time. You need to think about a few things before you start to contact venues, as this kind of preparation will help to ensure that you do not waste too much time looking at unsuitable places.
The most important factor that goes into the party planning is the actual size of the venue. This needs to be thought about as a priority – too large and you risk having a situation where the party looks deserted, too small and the party becomes a crush with no room to move. Some venues have adaptable rooms, that can be resized within reason to produce an area that is well suited to your group, so it is definitely worth considering contacting a few of these at the same time.
You need to decide whether you want to have a bar or have drinks served directly to people at their tables. Generally a bar is more convenient at a relaxed function, while waiters are better suited to a more formal event, although much of this will depend on your own taste.
Before you commit to booking a party, you need to establish whether the venue will handle all the decoration of the room, or whether you will need to arrange this separately. More experienced venues will have a range of different looks that they can provide for you, as well as being able to put you in touch with specialist decorators. Some venues will also have a kitchen and the capacity to provide a variety of meals for your party, although you should always shop around, as using the venue’s own caterers can sometimes be a bit more expensive than finding an alternative.
When you have narrowed down the list of possible party venues to a small number, you should visit each – ideally during a party in order to get a better idea about how well the place can cope with an event of the kind that you want to stage. Many of the larger venues will be able to show you around and discuss all of your needs, and in general you will find that the organizers at these party venues will be very honest about what they can and can’t provide. They will let you know immediately if they are unable to fulfill any aspect of your booking, and this is useful to understand. They want you to have as good a time as possible at their venue, and will do all they can to help.
Another important thing that you should consider when booking a party venue is the location and how close it is to local facilities. Some of your guests may be traveling from a long way away in order to attend the party, so they may need accommodation close by. If you have chosen a hotel as a venue for the party, they may offer a special rate for guests; however it is polite to give guests a couple of choices so they can be sure to find somewhere that they want to stay.
